You retain ownership of all information and documents uploaded to RealClose.io. We do not claim ownership of your data.

We process your information solely to provide, maintain, and improve the RealClose.io platform.

We use commercially reasonable administrative, technical, and physical safeguards designed to protect your information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

We may use trusted third-party providers for hosting, authentication, analytics, communications, and payment processing. These providers may access information only as necessary to perform services on our behalf.

Google Maps Platform processes the property-address text you enter when requesting suggestions. Suggestions are optional; you can enter the address manually. If you select a suggestion, we store its formatted address with that transaction and its Google Place ID. We do not store the suggestion list or address components.

We use PostHog to count page views on our website and to understand how agents use the RealClose.io app, so we can improve it. It runs in a cookieless mode: it stores nothing in your browser, and visits are counted with an anonymous identifier calculated on PostHog’s servers. In the app, page views record which page you opened (pages for a transaction include its internal ID) and are linked to your account ID, but not to your name or email. PostHog is set to discard IP addresses. We do not record your screen, keystrokes, or what you type. Client portal pages do not use PostHog.

When a client opens a shared transaction portal, views or downloads a shared document, or adds the key dates to their calendar, we record that action and its time so the client’s agent can see it. We do not record the visitor’s IP address, device, or browser, and we do not use cookies or third-party analytics on client portals. These records are deleted when the transaction is deleted.

When you create an account we ask for your primary licensed state and, optionally, how you heard about RealClose.io. When you first visit our website or sign-up pages, we save in your browser, for up to 90 days, any campaign tags in the link you used (such as utm_source) and the domain name of the website that sent you (not its full address), or a note that you came directly. We attach this to your account only if you create one. We use it to understand which channels bring agents to RealClose.io and where our users work. It is visible to you and to authorized RealClose.io team members; it is not shared with other users or with clients.
